Envoie Projects is looking for a part-time or hourly Bookkeeper to work with the Co-Owners and Chief Operating Officer of Envoie Projects. Envoie Projects is a real estate development project management firm.
Qualified applicants should have a minimum of five years of experience in accounting/bookkeeping. Formal accounting qualification is preferred but strong relevant work experience will be considered.
General responsibilities will include, but are not limited to the following:
Reporting - Preparation of financial postings to trial balance stage for review by CFO in accordance with reporting timetable.
Reporting – Coordination with CFO on cashflow management and planning
Reporting – Coordination with CFO on budgeting and entry to QuickBooks Online system.
Accounts Payable - Posting of all vendor invoices to system daily.
Accounts Payable - Getting authorization for invoices from managers.
Accounts Payable - Proposal of biweekly payment schedules to management that keep to agreed payment terms.
Accounts Payable - Ensuring all subcontractors have a valid W9 tax ID and annual 1099’s are issued.
Credit Cards - Monthly credit card reconciliation, authorization and posting to QuickBooks Online.
Bank - Account reconciliation, specifically posting of transactions daily and month end match of general ledger balance to bank balance.
Accounts Receivable - Coordination with COO on accurate posting of customer invoices from Big Time system through the automatic interface.
Accounts Receivable - Management of AR aging and reporting of slow payments to management.
Accounts Receivable - Posting of payments to QuickBooks Online system and reporting of any deductions from agreed amounts.
Expenses - Coordination with COO on employee expenses, ensuring amounts are correctly authorized, added to payroll runs and posted to the QuickBooks Online system.
Human Resources – Administration of hiring, onboarding, termination and employee benefits through payroll partner. Management of 401k profit sharing with Associated Pension Consultants
Payroll - Management of payroll through payroll partner including employee expenses, correct posting of payroll amounts to general ledger.
External Accountants – Coordination with external accountants on annual accounts, year end cash flow management, member tax exposures and PTET / UBT taxes.
Office Management – Including: business insurance & related audits, equipment purchasing / leasing, office supplies, contact lists, FedEx accounts and other related tasks.
Other responsibilities as required by the business
At least 5 Years’ experience of working in a relevant accounting function
Knowledge and experience of all Finance Department areas detailed above
Experience of using a General Ledger (GL) System for small to medium sized business
Proficiency in Microsoft Office Suites, proficiency in Excel is a must
Experience in working with Quickbooks online
Experience in working to tight deadlines and managing multiple demands, need to be results orientated and a quick learner
