The Payroll Coordinator is responsible for efficiently and accurately managing the payroll process for the organization. This role involves processing employee compensation, ensuring compliance with relevant regulations, and maintaining payroll records. The Payroll Coordinator plays a crucial role in ensuring employees are paid accurately and on time.
Essential Job Functions:
Collect and compile employee timesheets and attendance records.
Calculate and process bi-weekly payroll accurately and on time.
Assist with monthly payroll processing.
Maintain payroll records and ensure compliance with relevant laws and regulations.
Address payroll-related queries and issues from employees.
Reconcile payroll and employee benefits accounts.
Assist employees with benefit enrollments, changes, and inquiries.
Benefits and Deductions
Process employee benefits, including health insurance, retirement contributions, and other deductions.
Ensure accurate calculation and timely remittance of payroll taxes.
Handle wage garnishments, child support orders, and other payroll-related deductions.
Respond to employee inquiries related to payroll, tax withholding, and deductions.
Provide clear and accurate information regarding payroll and benefits-related matters.
Record Keeping and Compliance
Maintain accurate payroll records, including employee details, wages, and tax information.
Ensure compliance with federal, state, and local payroll laws and regulations.
Reconcile payroll reports to ensure accuracy and identify discrepancies.
Address any discrepancies and resolve issues in a timely manner.
Miscellaneous Payroll and Benefits tasks:
Assist HR Director with various tasks as assigned.
Maintain accurate and confidential employee records, including personal information, performance evaluations, and relevant documentation.
Run Background checks including CORI, SORI, and Fingerprinting for all new employees and volunteers.
Other duties as assigned
In order to complete the required job duties, the Payroll Coordinator must be proficient with Microsoft Office software and accounting database.
Minimum Education and Experience:
High School diploma or equivalent.
At least 2-3 years of experience in – payroll processing.
Familiarity with ADP WorkForce Now payroll software and systems preferred.
Proficient in using Microsoft Office Suite (Word, Excel) and Google Workspace.
Ability to handle confidential and sensitive information with discretion.
Ability to work independently and collaboratively within a team environment.
Prior experience at not-for-profit organizations is also preferred.
