Job Description:
PT Staff Assistant, Liberal Studies, Academic Affairs
Up to 20 hours per week; non-benefited position

GENERAL STATEMENT OF DUTIES:
The Staff Assistant is responsible for providing tactical support to the Division of Liberal Studies and, as needed, to the Academic Affairs suite of services. The Staff Assistant will perform duties requiring a high degree of confidentiality, decision-making ability, and exceptional responsiveness to internal and external requests. They will support the Dean with the Division's budget, evaluations, calendars, communication efforts, Division Meetings and proactively work to streamline and make more efficient the Dean's workload. The ideal candidate will also be comfortable working in a technology-rich environment and have a passion for working with data.
DUTIES AND RESPONSIBILITIES:
Improve processes within the Division to optimize productivity and efficiencies, which will include (but not be limited to): proactively streamlining workload and workflow for the Dean, the testing and training of new products and software, and organizing communication channels and requests.
Work strategically and collaboratively with the Director of Academic Operations to improve systems and support innovation.
Prepare and analyze reports using all current/new software concerning divisional activities in order to improve work methods, determine progress, revise procedures and/or provide information to supervisors.
Assist with developing and managing the master schedule (e.g., courses and faculty) for all programs in the Division, including the management of changes made during the registration periods and actively engage with innovative software and management systems to streamline scheduling.
Coordinate the scheduling and preparation of materials needed for Division meetings, governance meetings, external advisory board meetings, and/or accreditation, including taking and transcribing minutes.
Assist with Liberal Studies Division faculty evaluation tools, sending evaluations to faculty, maintaining lists of On-Cycle faculty. Conduct evaluations of DCE faculty at the discretion of the Dean, including (but not limited to) classroom observations and syllabi review.
Assist Dean with strategic decision making with respect to student student support and outreach; conduct outreach to students.
Assist with the administrative tasks of hiring of faculty (e.g., scheduling, interviews, and processing of all required employment paperwork).
Liaise with internal departments, faculty, external companies, and accreditations.
Support budgeting in consultation with the Dean.
Receive telephone calls, greets visitors, provides information and/or refers inquiries to appropriate person/office.
Perform assignments as required by the office and handle confidential information for the Dean of Liberal Studies.
Assist the Dean/faculty with projects, course materials, etc. (e.g., curriculum forms, workload forms, POs, RFEs).
Manage Dean's and departmental calendars.
Maintain/update web pages.
Support other Academic Affairs offices as needed during critical times, including academic suspensions, alerts and grades, and other projects from the Director of Academic Operations.
Work with Human Resources to facilitate student CORI/SORI background checks for students
Perform other related duties as assigned.
SUPERVISION RECEIVED: Reports to the Dean of Liberal Studies.
Requirements:
Bachelor's degree. Associate's degree with 2 or more years of related work experience.
Knowledge of the principles and practices of office management, general report writing and data preparation and analysis .
Ability to use general office equipment and higher education platforms such as BANNER, Navigate, Cognos, CourseDog, Zogotech, Constant Contact, Google suite, etc.
Ability to analyze and determine the applicability of data, to draw conclusions and to make appropriate recommendations
Capacity to understand, explain and apply the laws, rules, regulations, policies, procedures, specifications, standards and guidelines governing assigned unit activities.
Ability to establish rapport and maintain harmonious working relationships with persons from varied ethnic, cultural and/or economic backgrounds.
Ability to exercise discretion in handling confidential information.
Preferred Qualifications:
Supervisory skills.
Fluency in Spanish (preferred)

SALARY: $26.00 per hour, up to 20 hours per week, non-benefited.
