Position Summary: Performs appropriate functions of the Library Business Services Office, specifically preparing both faculty/staff and student payrolls and acting as liaison between Student Employment, Payroll and various departments of the Library.
Required Qualifications: High school diploma or GED. Two years of qualifying experience or a combination of education and experience that equates to two years. Experience with Microsoft Word. Customer service experience. Organizational skills with strong attention to detail. Demonstrated positive interpersonal skills. Effective verbal and written communication skills. Ability to project a positive attitude. Ability to manage multiple projects and meet deadlines with accurate results. Ability to compose, proofread and edit correspondence. Ability to perform the essential functions of the job.
Preferred Qualifications: Knowledge of specific software and/or mainframe/systems skills may be desired by the hiring department (i.e. Excel, Access, SAP).
Duties & Responsibilities: Interprets student employment, faculty, P&A, OP and ST policies and procedures and consults with HR, FPS and SES to resolve payroll issues, including FMLA. Keeps Libraries departments informed of payroll policy changes and upcoming deadlines. Trains new co-workers/supervisors in payroll and TimeClock Plus functions. Maintains and processes payroll information; prepares bi-weekly & semi-monthly TimeClock Plus payroll reports for the Libraries faculty, staff and student employees. Creates Work Study reports after each pay period to monitor WS packages collaborating with departments to ensure student aid remains within budget. Monitors student work hour limitations (Affordable Care Act). Facilitates the hiring process by providing supervisors student names for semester hires, employment changes, and terminations of all student employees in the library, including completing all paperwork required by Student Employment Services. Assists student employees with filling out appropriate employment paperwork, including I-9 verifications. Maintains student employee personnel files. Processes paperwork for new task codes. Updates student job descriptions, the Student Handbook on SharePoint, and the online student job postings. Coordinates with library student supervisors to create and process student postings utilizing the CMU PeopleAdmin system. Provides the information posted on the Library Student Employee website, works with appropriate individuals concerning editing the website and monitors the website usage by patrons. Acts as receptionist for the Deans office; answers inquiries and conducts problem solving for internal and external contacts on issues directly related to the work unit; supports staff for work area. Updates procedure manuals as needed. Participates with the student employment orientation committee. Serves as back up for Resource Specialist (includes invoice processing, payroll reconciliation, ImageNow, key checkout, vehicle checkout, copier supply distribution, student employee supervision). Distributes mail to the libraries departments and building partners. Assists with inventory (signage, furniture, etc). Creates procedure manuals. Prepares financial and operational presentation documents. Performs other duties as assigned.
