ADMINISTRATIVE ASSISTANT II, McGovern Institute for Brain Research (MIBR) (part-time, 20 hrs/wk.), to perform diverse financial and administrative duties for Dr. Tomaso Poggio and his group. Duties for the Poggio Lab will include managing complex scheduling and travel itineraries, coordinating inventory and ordering for the lab, supporting the financial and transactional needs of the group and the principal investigator's (PI) activities, and providing administrative assistance to support PI's involvement in complex and multifaceted initiatives. Additional responsibilities include processing and tracking purchase orders; processing accounting documents, including requisitions, journal vouchers, travel reports, and requests for payment; maintaining systems to allow for easy retrieval of materials; assisting with the preparation of educational materials; typing and proofreading correspondence; preparing travel arrangements and itineraries; making meeting arrangements; managing the PI's calendar; helping organize research meetings with visitors and colleagues including arranging catered meals; helping to create and maintain lab-associated website; working with headquarters' staff on all personnel transactions and research grant proposals; distributing mail; and overseeing office and laboratory supplies.
Job Requirements
REQUIRED: high school diploma or its equivalent; at least three years of relevant experience; excellent organizational, customer service, interpersonal, and communication skills; close attention to detail; and ability to exercise good judgment, take initiative, manage multiple tasks simultaneously, work both independently and as part of a team, and maintain confidentiality. PREFERRED: bachelor's degree and advanced-level computer skills that includes proficiency with Google Docs and Calendar, SAPweb, Microsoft Office (Word, Excel, PowerPoint, Outlook), Adobe Acrobat, and web publishing software.
