Under the supervision of the Associate Director of International Student Services (Canada), the OGS Customer Service and Operations Assistant (CSOPS-OGS Canada) supports the OGS Canada team by providing customer service, operational/logistics and administrative support to the OGS Canada team. Responsibilities include but are not limited to, providing support for in-person and online events and activities organized and hosted by OGS Canada, including working with Toronto and Vancouver Campus Operations and Marketing teams to provide technical support in booking, and setting up physical space, or creating online meetings including working with the Marketing team to ensure promotional collateral is branded appropriated, and invitation and registration lists are updated and monitored. Additionally, the CSOPS will provide support for student staff assisting with their onboarding and ongoing training. The CSOPS will maintain up to date files and forms on study permit tracking, and document collection and storage. They will liaise with the campus Arrivals Team to provide support and guidance to international students arriving to study at a Canadian Campus and will update and maintain current process documents and workflow charts and monitor and update the OGS Canada webpages as policies and processes change.
The CSOPS will work closely with the Campus Operations and Student Affairs teams to ensure that the diverse needs and cultures of our international students are supported and celebrated with appropriate activities and events to contribute to the development of an engaged and active international student community at the Canadian campuses. The CSOPS will assist in developing and maintaining international student services at the Vancouver and Toronto campus location, including participating in orientations, information sessions, and support services. Additionally, as a member of the Office of Global Services team, this role will communicate and coordinate to provide support to other departments at other Northeastern campus locations regarding campus coordination and general inquiries.
RESPONSIBILITIES INCLUDE:
Responsible for initial student intake processing and check-in procedures.
Assist in organizing logistics for orientation programs for initial and transferring international students.
Monitoring international students' documents and ensuring that documents and letters are uploaded to the appropriate digital platform
Provide support and supervision to part time student staff, including playing an active role in their onboarding and training, monitoring work and providing feedback
Monitor and maintain forms and spreadsheets for the purpose of tracking students study permit application progression, arrival, transfers, and other internal tracking methods
Provide support for the cultural transition and experience for international students, and ongoing engagement of students for successful performance, in partnership with student services staff and academic areas.
Refer students on to other areas for service where required
Complete administrative tasks related to the maintenance of student files, international communications, supporting OGS team
Provide logistical support for events and activities organized to support international student retention, success, integration and engagement.
MINIMUM QUALIFICATIONS:
Minimum of 3 years of formal experience in organizing activities and events for international students
Experience providing service to newcomers to Canada in academic or settlement services
Demonstrated intercultural competence
Bachelor's degree required
Exceptional level of attention to details, customer service,
High level of interpersonal and communication skills, demonstrated intercultural competence and superior writing skills
2-3 years of experience performing administrative tasks, proficient with MS Office products and student learning platforms, maintaining website content,
PREFERRED QUALIFICATIONS:
Fluency in other languages.
Experience living or working abroad.
Experience with Salesforce, Banner, Canvass
