The Middle School Placement Coordinator at Epiphany School provides students and families with exceptional support as they transition from Epiphany School to Middle School.
This position plays an integral role in managing and developing the Middle School Placement program and involves deeply knowing our students, families and local middle school programs to provide an individualized experience.
In this role, you will partner with students and families to prepare them for the experience and collaborate with families, faculty and staff during the application process to ultimately enroll our 5th graders at the Middle School of their choice.
This is a part-time, exempt, academic year position with an expected 20 hours per week with occasional evening and weekend events. This position is an on-site position that reports into the Director of Enrollment Management and Admission.
Essential Duties & Responsibilities:
Lead, manage and evaluate the Middle School Placement Program
Provide an exceptional experience for families in the Middle School application process.
Build relationships with parents and 4th and 5th graders to support their individualized application process; Work with parents one full year in advance of Middle School application process.
Build and deepen relationships with local middle schools to know the schools, their program, culture and new initiatives.
Participate in Middle School visits
Partner with Director of Admissions and Enrollment to plan and lead the following key events:
Participate in Fall Coffee for parents
Lead Middle School Forum/Information night with key presenters each April for fourth grade families to share about Middle School Admissions
Director of Middle School panel in the fall of the 5th grade year
Moving Up Coffees for third and fourth grade families in late winter/early spring
Conferences with Director of Enrollment Management
Alumnus day—middle school alums share info about middle schools with your graduating class
Meet with parents/families generally one full year in advance of middle school applications and follow-up as needed to support middle school application experience
Collaborate with a wide variety of faculty and staff to support the application process including the following:
Director of Enrollment Management—resource throughout process
Classroom teachers—provide letters of recommendation through Ravenna
Specialist teachers—may provide letters of recommendation through Ravenna
Registrar—collects records requests and submits records to middle schools before the application deadline
Administrators—conduct practice interviews, manage accommodation requests, offer test Prep, and onsite testing
Upper Division Head—interpret CTP5 scores
Support all Test Prep and Admission testing including the following:
Read and interpret test results for families
Compare enrolled middle school student scores to our applicant scores.
Share Middle School Placement statistics to Board including:
Share program overview with board of trustees to demonstrate all we do to support 5th grade families
Proudly list the schools our students have been accepted to and chose to enroll
Keep track of the number of acceptance letters
Provide resources as needed including updating relevant information in the fifth-grade newsletter
Provide lunch and recess coverage and arrival and dismissal duties
Participate in professional learning opportunities at Epiphany School and in the greater education community
Participate in school admission, development, and community events
Participate in committees (ie. Admissions committee) and provide input on school decisions

Bachelor’s degree or higher
5+ years' experience working in placement and/or admissions or similar field
Ability to multi-task and to maintain professionalism in a creative and changing environment
Excellent oral, written, interpersonal and conflict resolution skills; good presentation skills
Experience and comfort working in a Microsoft environment including MS Office
Must be collaborative, motivated, organized and process oriented
Ability to deal with emergencies
Commitment to student and family confidentiality
Ability to lead the program in a virtual environment as needed
