Job Description:Reporting directly to the Staff Associate to the Vice President for Administration/CFO, the Part-Time Assistant will provide full clerical support to the Staff Associate and direct clerical support to the Vice President's Office as needed. The Part-Time Assistant is responsible for assisting with all office tasks to ensure that daily office operations are efficient and streamlined.
Responsibilities and Duties:- Provide phone coverage for the Vice President's Office.
- Schedule meetings both in-person and virtually for office personnel as requested.
- Process incoming and outgoing mail.
- Maintain current electronic and paper files for office documents, including scanning conversion of paper to electronic files.
- Prepare materials for correspondences, reports and meetings as required.
- Prepare purchase requisitions and creates direct pay forms for approved invoice payments.
- Track budget activity.
- Prepare travel documents and reimbursement materials for the Vice President's Office.
- Order office supplies as needed.
- Coordinate food service menu distribution with food service vendor and Information Technology personnel as needed.
- Assist with special projects as assigned.
- Perform other duties as required to ensure the seamless operation and responsiveness of the Vice President's office.
- Focus on the Commonwealth's Equity Agenda by applying related best practices throughout all job functions.
Requirements:- Associate's degree or higher.
- Minimum of two years of professional experience in an office setting.
- Experience maintaining confidentiality of office records and exercising discretion when handling sensitive information.
- Excellent communication and interpersonal skills.
- Ability to establish and maintain strong rapport with internal and external individuals.
- High level of initiative with ability to work independently and in collaboration with others.
- Ability to manage and prioritize multiple competing deadlines.
- Strong computer skills with knowledge of Microsoft Office Suite programs.
Preferred Qualifications:
- Strong organizational skills.
- Experience in a fast-paced executive office environment.
- Higher Education work experience.

Hours: Up to 18 hours/week (Not to exceed 936 hours annually)
