What will you be doing in this role?
The Administrative Assistant provides administrative support, coordinating all administrative activities of the department. Demonstrates initiative, resourcefulness, and problem-solving skills in applying a detailed knowledge of the responsibilities, functions, and underlying management structure of the department and of the larger Health System. Responsible for organizing and prioritizing work, establishing procedures and systems and ensuring the orderly and timely flow of business through the office. Coordinates the clerical and administrative staff workflow through the office. Tracks, orders, and maintains organization of programs supplies. Coordinates and administers human resource and payroll functions. Takes lead in special projects as needed.
Job Summary:
Performs basic clerical, administrative and general office activities to support the facilitation of administrative workflow within the department and/or unit. Supports an individual or multiple staff members through a variety of tasks related to the organization and department. Responsible for confidential and time sensitive material.
Calendars appointments, conference rooms and organizes travel arrangements for an individual, group or department. Provides general information to internal or external clients or customers, answers and directs phone calls, and routes inquiries to other departments in the organization as appropriate. Distributes and disseminates information within the department and/or unit. Formats and types correspondence, documents, memos, reports, meeting minutes and/or presentations materials. Scans or makes copies of correspondence or other printed materials and compiles basic reports. Maintains records or department files. Replenishes and orders office supplies, may arrange for equipment maintenance. May assist with expense reports, monitoring budget, and/or tracking invoice payments.
Educational Requirements:
High School education with courses in business, accounting, computer operation & applications, correspondence or a comparable level of education, training and experience.

Experience:
* One to two years progressively responsible office and administrative experience.
* Demonstrated ability to compose simple business letters.
* Ability to type proficiently (50-60 WPM). Ability to edit material and ensure correct punctuation, spelling and grammar. Ability to perform simple mathematical calculations.
* Must possess a minimum computer competency comprised of a working knowledge of Windows or a comparable system (specifically including keyboarding and mouse skills). Must additionally possess a working knowledge of word processing , spreadsheets, presentation development, E-mail browsers and on-line reporting.
* Knowledge and understanding of the organization, functions, policies and procedures of the Department, and the inter-relationship with the larger Cedars-Sinai Health System, and the ability to apply the knowledge to the work of the office.
* Experience demonstrating the ability to handle multiple tasks frequently with short time-lines, to prioritize and organize work, and to complete assignments in a timely, accurate manner.
* Ability to interact effectively with Directors, Managers, internal staff, patients and representatives of public agencies and businesses.
Physical Demands: - Sit at a desk or table with some walking, standing, bending, stooping, or carrying of light objects.
- Perform continuous operation of a personal computer for four hours or more.
- Use hands and fingers to handle and manipulate objects and/or operate equipment.
- Stand dynamically to perform a function and move to perform another.
