The Operations Manager provides structure for the logistical aspects of GPYO’s artistic operations and manages communications with current and prospective students and families. This individual collaborates with staff and volunteers to ensure that program goals and needs are met, and rehearsals and concerts run smoothly. Administrative work includes improving the functionality of our database and reporting on the effectiveness and impact of our programs.

Reports to: GPYO Executive Director
Collaborates with: Music Director, Ensemble Conductors, Volunteers
Workload: Part-time, approximately 20-25 hours per week
Start Date: August 2022
Location: Princeton, NJ Hybrid position. On-site once a week, to manage weekly rehearsals.
Rehearsal and Events Management
Serve as the main point of contact for students and parents on rehearsal days (Mondays).
Coordinate set-up and tear-down of instruments, supplies, and chairs for all weekly rehearsals.
Assist conductors with music distribution and library maintenance.
Manage audition and registration processes.
Track attendance and enforce attendance policies.
Ensure effective rehearsal management, reinforce expectations of student conduct.
Assist conductors with logistical needs during rehearsals.
Oversee implementation of COVID protocols before and during rehearsals.
Manage all performances and concerts, in conjunction with Executive Director and Music Director.
Communications and Data Management
Serve as a point of contact for participating families, logistics, and program operations.
Respond to all communications from both staff and families on a timely basis.
Recruit and train volunteers for rehearsals and periodic events.
Maintain and oversee student records, including waivers and permissions.
Create and manage volunteer sign-up forms for concerts, rehearsals, special events, and other volunteer needs.
Prepare ensemble rosters and repertoire lists for all operational purposes.
Generate regular announcements and updates to members and their families. Manage lists of current, prospective, and past students and families.
Assist Executive Director and Music Director in generating and managing promotional efforts for auditions, concerts, and other events.
Improve functionality of GPYO student and alum records for use in ongoing communications efforts, as needed.
Other duties as assigned.

The mission of the GREATER PRINCETON YOUTH ORCHESTRA (GPYO) is to provide excellent training and performance opportunities for students seeking a challenging musical ensemble experience, and to cultivate a lifelong appreciation of the arts.
We serve over 150 music students entering grades 4 through 12.

Schedule Details: Weekly on-site 6-hour shift on Mondays from 4 to 10 pm; availability to facilitate administrative communications on Monday mornings. Additional 12-17 hours Tuesdays – Fridays done at your discretion; two concert weekends per year additional weekend or evening events may be added to calendar.
The Greater Princeton Youth Orchestra (GPYO) is proud to be celebrating over 60 years of delighting audiences. GPYO is made up of elementary to high school students from Central New Jersey and Eastern Pennsylvania, entrance is by competitive audition. Through their involvement with the orchestra, gifted young musicians from across central New Jersey and Pennsylvania hone their performance skills. They learn to work with others in pursuing common goals, and enrich all of our lives through public performances of classical music.
