Tandem Friends School, a co-ed, Quaker, 5th-12th grade independent day school in Charlottesville, Virginia, seeks a Front Office Coordinator. Ideal candidates for this position will have a welcoming demeanor, experience in an office/reception environment and a keen attention to detail. The position also acts as the de facto school nurse and assists the Director of Admissions with clerical/organizational tasks. This position serves as the first line of contact for visitors and callers to Tandem and creates a positive, welcoming and caring climate in the Front Office that promotes the mission and image of the School.
The Front Office Coordinator will:
Answer incoming phone calls and direct them to the appropriate party.
Record and relay messages from visitors to students and staff in a timely and professional manner.
Greet all visitors; make them feel comfortable and welcome; direct them to the appropriate party.
Provide basic information regarding the School to visitors, students, faculty, and staff.
Manage telephone message system (office hours, inclement weather and other recorded messages).
Receive, sort and distribute incoming mail, documents, books, materials and supplies following established procedures. Facilitate the quick removal of packages and other items that tend to clutter the lobby.
Serve as a member of the TFS Emergency Team; assist with safety planning, procedures, and drills. Record safety drills per procedures.
Run point on all emergency drills, particularly fire drills, and use page-all function to announce emergency alerts as appropriate.
Attend to students with medical needs:
Triage sick or hurt students.
Document all visits to the Health Office in medical log, notify/communicate with parents, as necessary.
Administer approved medications and medications as prescribed by a physician.
Assist the Director of Admissions by assuring swift and friendly communication with all admissions inquiries and help welcome prospective student and parent visitors.
Assist the Director of Admissions with clerical/organizational tasks such as creating/maintaining admissions files, mailings and maintaining supplies/materials.
This is a part-time position, approximately 20-25 hours/week, with the possibility of expanding into a full-time role. Starts summer 2022.
