Summary of Essential Functions:
Provide academic advisement and related expertise on topics such as registration, degree requirements, curriculum changes, academic planning and support, college policies and procedures, awards and fellowships, and other college-related opportunities to graduate students. Serve as a liaison to Graduate Studies to build the schedule of classes, coordinate graduate registration, maintain graduate student records and support academic progress for graduate students.
Essential Duties and Responsibilities:
Meet with graduate students, as needed, for individual advisement and planning. Meetings may take place in person, by phone, or via electronic means.
Advise and manage the registration of graduate students, providing information on academic standards and performance, course selection, ELL course placement, Certificate of the College Teaching of Art, graduate emphases, Baltimore Student Exchange Program and progress toward graduation.
Liaise with the Office of Graduate Studies to coordinate registration timelines, communication with and onboarding of newly admitted graduate students during the summer and monitoring seat caps and enrollments.
In collaboration with faculty across divisions, develop, distribute and maintain the graduate student registration guide and registration worksheets with degree requirements and guidelines for each program.
Develop and maintain online degree plans and perform regular degree audits for the MA and MFA programs to assess student eligibility for graduation; perform duties pertaining to enrollment and commencement, utilizing Oracle/PeopleSoft database system to track and update academic information.
Maintain graduate student records, including data needed for accreditation or state certification for the graduate programs.
Support the Associate Registrar to build the graduate course schedule each semester, including updating course information for new and revised courses and coordinating with undergraduate departments/faculty/deans who participate in graduate coursework, resolving scheduling, etc.
Coordinate with the graduate program directors the evaluation of non-MICA courses for transferability toward degree requirements; transcribe such work to the studentâs MICA record.
Manage the graduate student academic warning process.
Develop and support programming aimed at increasing graduate student success, retention and engagement, in collaboration with campus partners and through participation in working groups.
Explicate and apply college policies related to enrollment, graduation and progression through graduate program requirements; serve as a resource to the campus community for such issues.
Support the review of Academic Policy for graduate students.
Duties, as assigned by the Registrar, to support Enrollment Services and the needs of the graduate and programs and students.

Essential skills and experience:
Masterâs degree in education, fine arts, or higher education administration
One - three years of experience in academic advising or student counseling at the college level
Demonstrated ability to work independently on multiple tasks with attention to detail and follow-through
Excellent interpersonal and communication skills; ability to communicate effectively with a diverse population of students, faculty, and staff in verbal, written, and electronic form
Responsiveness to the needs of student artists; supportive and encouraging of student development
Valued but not required skills and experience:
Interest in the arts, experience in an art school or art program preferred
Experience using student records database systems/software

Work Schedule:â Although negotiable, the work schedule for this PT position will be at least 5 hours per day for 4 days/week or 4 hours/day for 5 days/week.
Office & Advising hours: âThis position will have a private office in the Office of Enrollment Services. The position may require holding office or advising hours in the Office of Graduate Studies or other locations on campus to support communication and outreach to graduate students.
Work environment:. âWhile performing the duties of the job, the employee is exposed to weather conditions prevalent at the time. The noise level in the work environment is usually (minimal, moderate, or high).
Required training: âNew Employee Orientation, PeopleSoft and generating repoârts, Employeeâ âHandbook orientation, Title IX, Anti-Harassment, Hazard Communication, Emergency Plans & Fire Prevention, Personal Protection Equipment. (additional training may be added, see EHS Manager training schedule)
