The Administrative Coordinator will effectively and efficiently support the mission of the Office of Clinical Integration and Evidence-based Practice (CI-EBP). This position provides high-level administrative support for the CI-EBP Director, program managers, project coordinator, as well as a designated group of clinical faculty, including full professors and those with leadership roles.
Works with Clinical Integration and Evidence-based Practice (CI-EBP) team by providing administrative support for guideline, implementation, and delegation protocol meetings across OHSU Health.
Provides meeting support by preparing meeting documents, taking meeting minutes, setting up conferences as needed and maintaining CI-EBP databases and folders.
Small clerical projects, including data entry, correspondence, building survey reports, mail distribution and other duties as assigned.
Supports calendar for Director of CI-EBP; submits p-card reconciliations and iExpense reimbursement requests on behalf of Director; serves as department IT contact and space surveyor; orders equipment and supplies for the department; coordinates and completes special projects as needed, as well as other duties as assigned.
Maintains department internal website; assists in developing promotional and patient education materials for outreach; attends guideline and protocol meetings.
Four years of general office or secretarial experience; OR
An Associates degree or certificate in office occupations or office technology and two years of general office or secretarial experience; OR
A Bachelors degree and two years of general office or secretarial experience; OR
An equivalent combination of training and experience
One year of experience working in a position that requires setting priorities and establishing effective daily work habits
Excellent written and verbal communication skills
Ability to deal professionally with people in a variety of sensitive situations
Ability to work with and support coworkers, faculty, students and general public
Strong organizational skills
Proficient using MS Office Suite and Adobe Acrobat. with word processing and database experience
Ability to update and maintain a web site
Demonstrable record of reliable attendance, punctuality, and proven successful performance at past and present employers
Must be able to perform the essential functions of the position with or without accommodation
Proficient with Oracle
Administrative experience and calendar support for Mid-level Management and Providers
