SICE ADMINISTRATION (BL-INAD-IUBLA)
Luddy Career Services partners with students in the Luddy School of Informatics, Computing, and Engineering as well as employers recruiting for technology, information, and engineering opportunities. We serve Luddy students in all levels of their career development, from exploratory and pre-major students, to those pursuing undergraduate, master's, and doctoral degrees, in addition to our alumni. Our mission is to provide opportunities and resources that will empower students to define their career goals, develop professional life skills, obtain related experience, and realize their career potential. At its core, this role serves to support Luddy students through strategically cultivating and continuing authentic partnerships with employers focused on both current recruiting needs and future growth.
Manages front desk operations for Luddy Career Services, including the main email inbox and phone line.
Welcomes and triages all visitors to career services - students, employers, alumni, parents, perspective students, staff, faculty, etc.
Maintains professional and friendly presence as the front desk as the first point of contact for career services and a representative of Luddy.
Educates students on career systems used by the office and career resources.
Manages 11 interview rooms for use by both employer interview schedules and student virtual interview room requests, as well as the employer lounge and shared office spaces.
Oversees office purchases, such as stocking food and beverages for visiting employers, travel expenses, and parking passes.
Assists with on-campus employer visits through greeting them upon arrival, preparing interview rooms and other spaces of use, and ordering lunches (if applicable).
As a member of the employer relations team, maintains CRM through Salesforce to strengthen current recruiting relationships and develop new partnerships.
High school diploma or GED.
1 year of office or administrative experience.
Higher education experience.
Proficient communication skills.
Ability to build strong customer relationships.
Maintains a high degree of professionalism to represent the school to internal and external constituents.
Demonstrates time management and priority setting skills.
Highly dependable with a positive attitude.
Experience with Salesforce, Handshake, 12Twenty, and/or Zoom management.
Experience with Indiana University internal payment systems.
Equally eager as a listener and as a creative problem solver.
Appreciates details and anticipates the needs of others.
Strong sense of team and interpersonal skills.
Willingness to learn.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. The person in this role must be able to perform the essential functions with or without an accommodation.
This role will require a 7:30 am start time on days employers are conducting interviews. Most days will have an 8:30 am start time.
