George Fox University announces an Administrative Assistant position in the School of Theology. The position is a support staff person located in Newberg, Oregon. The selected candidate will report to the Director of the School of Theology. 25 hours per week August 1 - May 30 annually.
Departmental hospitality. Interfacing effectively and courteously with faculty, students, parents, prospective students, and other visitors in-person, via email, and on the phone.
Purchase office supplies, schedule office equipment maintenance, and manage petty cash for the department.
Manage student employee budget process and report creation.
Coordinate & supervise student employees, including processing offer/new hire paperwork, monthly time sheets, documentation of hours and workers for faculty, and tracking earnings; supervise student employees, including delegating, coaching, and providing performance feedback.
Provide administrative support for departmental faculty and manage student employee assistants.
Manage and communicate faculty schedules. Additional associated clerical duties, mail, telephone, room and vehicle reservations, scanning, copying, faxing.
Manage and coordinate updates to the School of Theology webpages and social media sites.
Manage departmental marketing and informational media (print, video, and social media) interfacing with MARCOM, Department Director & student employees.
Design and draft general correspondences, memos, charts, tables, graphs, signs, etc. Proofread copy for spelling, grammar, and layout, and make appropriate changes.
Serve as a recording secretary for assigned committee meetings. Ensure that all participants have a meeting agenda and remind attendees of meeting schedules. Attend meetings and take, transcribe and distribute minutes.
Arrange meetings and special events (graduation, receptions, etc.) as needed by reserving meeting space, arranging food service (if needed) and working with the Facilities for room set-up (if needed).
Responsible for coordinating student recruitment activities, admissions events (Bruin Preview/Friday at Fox), and scholarship competitions.
Maintain databases of student contact information (prospective, current, and alumni) and on-line department calendars (faculty office hours, student employee hours, and department events etc.)
Answer the telephone and provide information, take messages, or route the call to the appropriate individual. Retrieve program voice mail and respond or forward as appropriate.
Perform other clerical duties as may be assigned from time to time by the Director of the School of Theology.
