This position provides support to the office of the Dean of Academic Programs and Athletic Director. Specific duties include: Providing general curriculum and program information to students, faculty, and staff. Updating various academic program documents and distributing as needed. Working closely with the office of the Vice President of Academic and Student Development to complete course scheduling and faculty contracts. Maintain and track course syllabi, class rosters, academic/athletic related documents, and purchase requests submitted by faculty. Provide coverage for the academic office. Greet internal and external customers, determine their needs, and route to appropriate personnel for assistance. Use critical thinking and sound judgment when determining the needs of students and faculty. Answer phones and assist callers or route to appropriate personnel for assistance. Assist with the preparation of faculty meetings, adjunct orientation meetings, and advisory committee meetings. Ensure requisitions for these events are completed, items ordered, and the event is properly set up ahead of time. Collaborate with co-workers to ensure tasks related to academic programs are completed.
Minimum of an Associate's degree in public relations, communications, administrative support, or related field and/or equivalent training and experience. Ability to use sound judgment and critical thinking skills when determining students' needs verses students' requests. Ability to apply knowledge of policies and procedures daily. Excellent written and oral communication skills as well as strong interpersonal skills. Proficient in Microsoft Office applications, PeopleSoft SIS, and ImageNow. Ability to relate to potential students with a diverse background. Ability to interact well with faculty and staff as it relates to providing excellent customer service to provide needed services for students. Ability to multi-task and maintain a high level of organizational knowledge and attention to detail. Willingness to work at all locations as needed.
