Position Summary and Responsibilities The Administrative Assistant position provides administrative support to the Engaged Pluralism Initiative. The Administrative Assistant position is a part time position, 20 hours/week for the academic year, 42 weeks/year.
Respond to inquiries and provide reception for students and callers;
Calendar and program site management;
Schedule meetings and coordinate program events and expenditures;
Reservation of rooms for multiple weekly meetings and large events;
Arrange for media resources and catering for meetings when needed;
Track and verify p-card expenses. Assign charges to appropriate worktags;
Arrange for outside speakers. This includes processing fee payments, lodging and travel arrangements and supplier invoice requests;
Attending Coordinating Committee Meetings;
Arranging Steering Committee meetings;
Establishing and maintaining records such as meeting minutes, annual reports, and requisitions,
Assist with managing program budget;
Provide general administrative support, including filing and securing confidential records, ordering of supplies, data entry and producing and reviewing various reports;
Perform other duties as assigned.
Two to four years of administrative support experience;
Comfortable in a supporting role while also demonstrating initiative and self-motivation;
Strong organizational skills and keen attention to detail;
Strong written and interpersonal communication skills;
Ability to prioritize and manage time appropriately to ensure that deadlines are met and materials are accurate;
Proficient with Microsoft Office products and Calendar Management (Word, Excel, and Powerpoint) and Google products (Documents, Forms, and Spreadsheets in particular);
Familiar and/or comfortable with navigating various databases and data-entry protocols;
The ability to interact effectively with a diverse community of faculty, students and staff in an efficient, professional manner is required.
